How to activate and use Debtor Management/ Credit settlement in SalesPlay POS

Once your business is generating turnover, you become more concerned about the payment cycles. Ideally, you should recover from your debtors (cash inflow) before your creditors are settled (cash outflow). Keeping track of this liquidity cycle can be daunting, if you don’t have a POS system with these essential inbuilt features.    

 

When you link the SalesPlay POS to the Back Office, it gives you the ability to enable credit based sales, trace your debtors, settlement times as well as download reports.  

 

The terminology may be used interchangeably as debtor management or how your creditors will settle debt owing to you (credit settlement)

Track pending debtors sorting them by amounts and outstanding dates. 

User interface overview

Follow these steps to enter details and use the filtration option.

  1. On the SalesPlay POS app, click on the menu icon and chose Sales> Debt Management (credit invoice)

   2. Choose Past Credit Receipt Tab. By default, all credit receipts will be displayed here.  

   3. You can filter receipts based on customer name or date using filtration list (annotation 02 and 03) 

   4. Settled Credit Receipt Tab: Fully settled receipts getting will display in this tab

Note : User can access the Debtor management (Credit invoice) module in ‘Sales’ section in the sidebar

Debt Management (credit invoice)

Once you make sales under the credit category, credit sales details will be available in the Debtor management (Credit invoice) section. There will be two categories available under Debt Management (credit invoice). Past credit receipts and settled credit receipt. 

You will need this feature to easily identify the percentage of settlement, payment type and settled amount as a total percentage. You can also print a summary report of the total settled. 

This is how to enable Credit Settlement

  1. Customer Name 
  2. Receipt percentage value from the total customer outstanding amount 
  3. Settled amount as percentage of the total receipt 
  4. Payment type of the settlement 
  5. Print Summary Report (Report which includes all the settlement information as a summary) 
  6. Delete corresponding Debtor management (Credit invoice): when deleting you will be asked to enter the password to proceed. You would ideally delete the Debtor management (Credit invoice) records if the customer has settled the credit limits in full.

Debtor management (Credit invoice) for a Fully Settled Receipt 

Since the fully settled receipts moves to the “Settled Credit Receipt’ section after the fully settlement, if you want to delete the settlement you can delete it by opening the relevant receipt from the ‘Settled Credit Receipt‘ section

  1. Print Summary Report (Report which includes all the settlement information as a summary) 
  2. Delete corresponding Debtor management (Credit invoice): when deleting you will be asked to enter the password to proceed.
